Privacy Policy

PresentBetter is a suite of AI-powered feedback tools for researchers and academics. This policy explains what data we collect, how we handle your uploads, and what we store. We believe in saying what we know to be true, plainly.

When you upload a file (an image, transcript, or document), it is sent to our servers, processed in memory by our AI systems, and then deleted. We do not store the original file. The upload exists only for the duration of the analysis.

We have programmed our system to work this way. The infrastructure runs on Google Cloud (which is SOC 2 Type 2 certified), and all data in transit is encrypted via TLS.

The only data we retain is:

• Your account information — email address, name, and authentication details (managed by Firebase Authentication).
• AI-generated feedback and analysis results — the output produced by our AI personas in response to your uploads. This is stored in our database, fully encrypted at rest.
• Usage records — credit transactions, session timestamps, and activity logs for account management.

We do not store your original uploads. We do not store your images, transcripts, audio recordings, or documents after processing.

Only you can see your feedback and analysis results. PresentBetter administrators do not have access to the content of your sessions. We can see that a session was created (for billing and support purposes), but not what was in it.

We use third-party AI services to generate feedback. When your upload is sent to these services for analysis:

• Each AI service is configured with private/non-training settings — your data is not used to train AI models.
• The data exists in the AI provider's system only for the duration of the API call.
• We rely on the privacy commitments of our AI providers, which include SOC 2 Type 2 certification.

All stored data (accounts, results, credit records) resides in Canada on certified cloud infrastructure. Data is encrypted at rest and in transit.

When AI analysis is performed, upload data is temporarily sent to AI provider endpoints (which may be located outside Canada) for the duration of the API call, then discarded. No upload data is persisted outside Canada.

We have built PresentBetter with PIPEDA and HIPAA-aligned privacy practices. This means we have designed and programmed our systems to meet the standards set out in these frameworks. We have not undergone a formal third-party audit.

Our security practices include:

• Encryption of all data in transit (TLS) and at rest (AES-256)
• In-memory processing of uploads with immediate deletion
• Industry-standard authentication for secure account management
• Role-based access controls on our infrastructure
• Regular security reviews of our codebase

Credit purchases are processed by Stripe. We do not store your payment card details. Stripe handles all payment information under their own PCI DSS compliance. We receive only confirmation of successful transactions.

We use the following third-party services:

• Cloud infrastructure provider — infrastructure hosting (Canada region)
• Authentication service — secure account management
• Stripe — payment processing (PCI DSS compliant)
• AI analysis services — configured for private, non-training use

We do not sell, share, or provide your data to any other third parties.

You can:

• Access your account data and analysis history at any time through the app.
• Export your feedback results.
• Delete your account and all associated data. Account deletion is available in Settings and is permanent.

We use essential cookies for authentication (keeping you logged in). We do not use tracking cookies or third-party analytics cookies.

If we make significant changes to this policy, we will update the date at the top and notify users via email or in-app notice.
